About this policy.
House Call RV is a sole-trader business operating under ABN 72 675 759 707. We provide mobile caravan service, repair, and detailing across Sydney.
This policy describes how we handle personal information you give us when you book a service, contact us, or use our website. We've aligned this policy with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth), even though as a small business under the $3 million annual turnover threshold we are not strictly required to do so. We've chosen to apply the APPs because we believe customers should know how their information is handled regardless of business size.
What personal information we collect.
We only collect information that we need to deliver and invoice services. That includes:
- Identity and contact information — name, email address, phone number
- Service location — the street address where your van is parked for the booking
- Vehicle information — caravan make, model, year, length, registration number, and any specific details you give us about its condition
- Photographs of your van — taken before, during, and after work for documentation, quote justification, and the photo report you receive on completion
- Payment information — your card details are entered directly into Stripe (our payment processor) and are not stored by us; we only hold the transaction confirmation
- Booking notes — anything you tell us about the work, access constraints, or your van's history
- Communication records — emails, text messages, and call notes when you correspond with us
We do not collect sensitive information (health data, racial origin, political views, religious beliefs, etc.) and we have no business reason to.
How we collect it.
- Directly from you, when you fill in a booking form, send an email, send a text message, or speak with us on the phone
- Through our online booking system (Acuity Scheduling), when you book a visit
- Through our payment processor (Stripe), when you pay a deposit or final invoice
- On-site, when we photograph your van as part of normal service documentation
Our website does not use marketing cookies, tracking pixels, or third-party advertising scripts. We use a privacy-respecting, cookieless analytics tool (Ahrefs Web Analytics) to count visits and understand which pages people read — it does not track individuals, does not set cookies, and does not build profiles. The only cookies on the site are essential cookies set by the Acuity scheduler when you start a booking.
Why we collect it.
We collect personal information for the following purposes:
- To respond to your enquiry or quote request
- To confirm, deliver, and document the service you've booked
- To process payments and issue tax invoices
- To send appointment confirmations, reminders, and the post-service photo report
- To follow up on warranty matters or recommended future maintenance
- To meet our legal and tax record-keeping obligations
We do not use your information for marketing without your consent, we do not sell or share your information with third parties for their marketing, and we do not use behavioural advertising.
Who we share information with.
We share limited personal information with the following service providers, only to the extent necessary to deliver our service:
- Acuity Scheduling (Squarespace, USA) — booking management. Stores your name, email, phone, address, and booking notes. Acuity privacy practices.
- Stripe (USA) — payment processing. Stores card details directly; we never see or store your card number. Stripe privacy policy.
- Google (USA) — email hosting (Gmail). Stores email correspondence with you. Google privacy policy.
- Cloudflare (USA) — website hosting and DNS. Stores access logs (IP addresses, request timestamps) for security purposes only. Cloudflare privacy policy.
- Ahrefs (Singapore / USA) — privacy-friendly, cookieless website analytics. Stores aggregate visit data (page URL, referrer, country, device type) without identifying individual users. No cookies set; no profile built. Ahrefs privacy policy.
- Subcontracted licensed tradespeople — for 240V electrical work and gas work specifically, we share your service address and the scope of the relevant work item. We never share unrelated information.
We do not sell, rent, or trade your personal information to anyone for any purpose.
Where your information is stored.
Some of our service providers (Acuity, Stripe, Google, Cloudflare) operate from servers located in the United States. By using our service, you acknowledge that some of your personal information will be transmitted to and stored on overseas servers. All providers we use offer privacy protections substantially similar to the Australian Privacy Principles, and we have selected them in part for that reason.
Records we hold ourselves (booking notes, photo reports, invoices) are stored on password-protected work devices, with cloud backup to Google Drive (Sydney region servers).
How we protect your information.
- Devices are password-protected and encrypted
- Cloud accounts use two-factor authentication
- Email and document access is restricted to the operator only
- We delete personal information that is no longer needed (see retention below)
No system is perfectly secure. If a data breach occurs that is likely to result in serious harm to you, we will notify you as soon as practicable and report it to the Office of the Australian Information Commissioner (OAIC) where required.
How long we keep it.
- Booking and service records — kept for 7 years to meet ATO record-keeping requirements
- Photo reports — kept for 5 years (also the warranty period for major work)
- Email correspondence — kept for 2 years from the last contact, then deleted
- Marketing list — we do not maintain one
Your rights.
You have the right to:
- Access the personal information we hold about you — just email us and we'll send you a copy within 30 days, free of charge
- Correct any information that is inaccurate, out-of-date, or incomplete
- Delete your information, except where we are legally required to keep it (e.g., tax records)
- Withdraw consent for any future use of your information for purposes you previously agreed to
- Make a complaint if you believe we've mishandled your information
